Standard Operating Procedures (Also Known As SOP’s) are guidelines outlined for baseline performance metrics and understanding of roles and responsibilities of the Valguard Cash In Transit Division. The following procedures are applicable when a shift has started until completed. Each employee is responsible for acknowledging and abiding by these guidelines, understanding them and lookout for changes and updates.
If for any reason one or more of the Standard Operating Procedures, or any specific directive, is not compliant with any laws, rules, policies or regulations, it is the driver’s/courier’s responsibility to report the issue to management in accordance with the chain of command.
Drivers - > Couriers -> V.P | Operations Managers -> COO /CEO
*In the absence of direct contact with Operations or the COO / CEO, the vault manager on duty is to assume responsibility to address and resolve relevant concerns.
These procedures are implemented for the safety of Drivers and Couriers and to ensure tasks are completed within the specific constraints of each task (such as time windows) including but not limited to the safe and conservative use of resources. If procedures are not followed accordingly; the courier and/or the driver may be reprimanded.
Professional etiquette will not be compromised. Each person is expected to respect one another in the workplace, and in case of any breach of this requirement – contact operations during occurrence or as soon as possible afterwards.
Bay Door Procedures:
- The Bay Door should only be operated by the Vault Custodian/Manager on Duty at the time unless otherwise specified.
In case vault manager is not present or you have received other instructions please make sure to follow:
- When operating the Bay Door, always visually confirm prior to opening that the exterior is clear of any risk to safety or threats.
- Prior to opening the bay door ensure that the vault door is closed
- Staff requiring access through the bay door must utilize the doorbell installed outside the door to notify the vault/manager(s) of your presence
- Vault/manager(s) will verify on camera the identity of the individual(s) outside before opening
- Always visually confirm that the door has completely closed before vacating the premises
- If Remote Access is Granted: Maintain a constant line of communication between the employee and manager/custodian on duty ensuring the entire process is successfully completed, such as alarm status, door status.
- The Courier must exit the vehicle when entering and exiting the bay to ensure the safe and guided traffic of the vehicle and to provide confirmation when the vehicle has cleared the path of the door for safe closure.
- In the event of a malfunction or failure with the operation of the door one must report immediately the concern to their direct supervisor following the chain of command.
- In the event of a malfunction the employee will receive an alternative set of instructions on operating the bay door, while the alternative
- measures are in place it is imperative to ensure all possible safety measures are maintained.
- Vault/Managers must refrain from using the mobile application to expedite their entry into the bay circumventing the utilization of the doorbell when returning from an assignment.
- Weekend/After-Hours access will be monitored and maintained by the Supervisor on duty.
DO NOT OPEN THE BAY DOOR TO ANYONE YOU DON’T KNOW!!!
Vault Custodians / Managers Responsibilities:
- Opening and closing of the vault at the commencement and completion of each shift (While armed).
- Only a manager On Duty at the time can operate the bay door controls.
- Account for equipment and inventory [Ensure all liabilities are accounted for on daily basis.]
- Ensures parcels exchange with courier are verified [Ensures couriers are accountable for parcels they had received and verify the reception all parcels in their possession]
- Provides, receives, and documents equipment for crews at the commencement and completion of each shift (keys, firearms, POD’s etc.) [Ensures that all crews have required equipment to perform their assigned duties properly, and maintain continuity of custody of inventoried items]
- Conduct and maintain an inventory list of keys, guns Gas Cards and other equipment that is stored at the vault on regular basis.
- Follow all “vault rules” as posted on the wall(s) in the vault alongside posted opening/closing procedures noting safety precautions and duress features.
- Immediately alert management of any deficiency, noncompliance or concern, no matter how minor.
- Propose ways to increase safety, improve efficiency, save costs, reduce waste etc.
- Always and without exception be mindful and alert to threats, risks, exposures and liabilities. [Keen observation and situational awareness can make the difference in safety and potential oncoming risks]
Driver Responsibilities:
Driver is the person that his/her name appears as the driver on the run sheet on the day of duty
Driver must be above the age of 25 holder of a G license and with clean driving abstracts.
- Remain in vehicle at all times / or ensuring another person stays in the vehicle (while leaving it; with exception to designated facilities; if unclear contact Operations for verification [Failure to comply will compromise the safety of the transport and eliminate possibility for insurance coverage in the event of a liability related incident]
- Ensure vehicle’s maintenance is checked at the start of each shift and completion of shift within our online portal. (Oil, coolant, windshield washer fluid, brake fluid levels, mirrors, tires [Failure to perform an inspection may compromise the reliability and operation of the transport]).
- Checking the surroundings, inside (including dashboard), under the hood of the vehicle and promptly report, in writing, any damage or noticeable change to the vehicle [Failure to perform an inspection may compromise the reliability and operation of the transport]
- Implement all safety precautions and behaviours while on duty, without exception. [Safety Precautions are designed and enacted for the safety of the crew, failure to comply may result in injury or worse]
- Ensure that the most efficient route is planned. [Ensuring the most efficient route is planned will optimize efficiency and safety]
- Ensures the courier has the ability to safely enter and exit the vehicle and the serviced property, to conduct tasks. [A courier’s ability to enter the vehicle may hinder productivity and compromise safety]
- Ensure all the necessary equipment (such as: dolly, GPS) is operational. [Inadequate equipment may inadvertently increase the difficulty of a task]
- Watch the courier’s path to/from a call to make sure it is safe – immediately report to the courier and operations if something is out of the ordinary. [Situational awareness will maximize safety and reduce the window of opportunity for unsavoury characters]
- Do not move the truck while the courier is on a call before notifying the courier where and when to expect the truck to be parked. [Relocating without communication will endanger the courier and increase the time expended to return to the vehicle]
- Keep the truck clean, fuelled and remove any garbage and personal belongings from the vehicle at the end of the shift. [Cleanliness will ensure the subsequent team utilizing the vehicle will have a clean and orderly working space]
- Ensure validity of sticker, insurance, ownership and Gas Cards. [Ensuring validity of relevant documentation will ensure that the driver is able to refuel without complication and if the validity is drawn to question it is easily verified]
- Report to Operations immediately any safety concerns. [Safety is paramount, any risk to safety must be reported for review and resolution]
The Use of Cell phone for a none work related task is strictly prohibited!!!
Courier Responsibilities:
Courier is the person that his name appears as the Courier on the run sheet on the day of duty, AKA messenger.
Note: Courier must be armed person carrying a valid ATC. Courier is the higher authority among the crew and eventually responsible for the driver fulfilling his/her responsibilities.
- Courier must acknowledge the run sheet in its entirety prior to leaving the office [This will ensure the Courier’s full comprehension of the upcoming tasks for the day and will allow the early identification of potential challenges.]
- Parcels are to be delivered to the location (appearing on the POD/CIT slip – not the address on tamperproof bag [Compliance to the details noted on the relevant documentation will prevent improper delivery of liability]
- Confirm all inventory was received from the Vault, be aware specific requirements (Including keys, etc.) [Confirmation will mitigate any errors in the preparation prior and ensure all liabilities are present and accounted for the day’s assignment]
- Ensure run is completed in its entirety by the end of the shift.
- Perform pickups and deliveries and transport liability in the safest and most efficient way possible [Safety is paramount, as courier you are most vulnerable in transit, safe and efficient transport will mitigate the amount of exposure and risk prevalent to the situation]
- All information (run sheets etc.) is to be kept in a safe area in the vehicle (not be visible to the public) [Customers and their addresses are for employees only; revealing such information may compromise safety and security of the route]
- Have a sufficient amount of tamperproof seal bags and POD Books (Cash In Transit Documentation Book) [Ensuring additional supplies are loaded into the vehicle prior to the shift will alleviate the stress of insufficient supplies while en route]
- Ensure that all parcels taken into custody are picked up and/or delivered with all required information (including Signatures) forthwith the completion of the corresponding task whether via Online Portal or CIT Slip PRIOR to leaving the client location. [Documented chain of custody is critical for liability tracking and insurance]
- Communicate professionally and politely with all clients.
- Ensure no more than 10 minutes are spent at each call unless approved by operations. [Minimizing time spent at each facility/location will directly impact amount of risk]
- Ensure each parcel (delivered or picked up or received from the vault) is matching the information from its POD. [Accuracy of documentation ensures parcels are picked up and delivered to and from the correct locations]
- Report to Operations immediately unsafe behaviour from anyone, including the driver (such as unsafe driving). [Failure to report may result in elevated risk to safety]
- Ensure someone is present in the vehicle at all times. [Presence of a staff member inside the vehicle will enhance safety measures as well as ensure eligibility for insurance]
- Any deviation from a direct path to and from the client location is strictly prohibited with liability present. (Washroom trips etc must be done after the liability is secured inside the vehicle).
Dual Courier/Crew Responsibilities:
- One person must remain in the truck at all times (Unless approved by Operations, each specific time) [Failure to comply may result in a loss of insurance eligibility and elevated risk to safety]
- Truck Cleanliness [A clean and organized working environment will ensure all items are accounted for and for streamlined productivity]
- Any call unable to perform or unable to make it on time is to be reported to operations in a timely manner [Any possibility of incomplete assignments must be reported ASAP for assessment and timely response ie. reassignment of call or further coordination with the client]
- Any discussion of internal operations, procedures or guidelines with any client or external source is strictly prohibited.
- Ensure the vehicle is properly secure and all doors are locked before initiating transit either to and from the vehicle or with the vehicle [Ensuring the vehicle is properly secure will help prevent unintentional loss of liability and risk to the crews’ safety]
- It is an individual responsibility to ensure by visual confirmation that the bay door is closed and acknowledged by a member of management [To prevent the extended exposure of the vault and other liabilities on site and improve operational security]
*Notes:
• In the event of an exchange of roles during the day between a driver/courier, the responsibilities will remain as assigned on the run sheet document at the start of the day.

Anyone found in violation of the Standard Operating Procedures may be reprimanded by the following;
- Verbal Warning
- Written Warning
- Suspension
- End of Employment
- Other disciplinary actions
- Legal actions as prescribed by Law.
